How does document commenting work?
How do I specify who to send a commenting invitation to?
When you have selected commenting either for the entire document or for a specific section, you can add the email addresses of the people to whom you want to send a commenting invitation. You can also write an explanatory message and specify how long the invitation will be valid.
I received an invitation to comment on a document. What should I do?
INSTRUCTIONS FOR THE RECIPIENT OF A COMMENTING INVITATION:
1. Open the email with the subject line "Invitation to comment on [document name]".
2. Click the link in the email.
3. Click the speech bubble in the bottom-right corner of the completion field you have selected.
4. Write your comment in the field that opens.
5. Check that the name of the field you selected is shown at the bottom of the comment field and click "Send". Your comment will now be visible to everyone who has access to the document.
Additional instructions:
- You can close the commenting view using the cross in the top-right corner.
- You can open the commenting view using the speech bubble icon in the top-right corner.
- You can select which comments to display (if comments have been added) by clicking the small tick at the top of the commenting view, below the text "Select comments to display".
- You can reply to an existing comment by clicking the small tick at the top of the comment.
- You can write a comment concerning the entire document in the field open in the commenting view when no field is selected (check that the bottom of the comment field says "Applies to the entire document").
Note! Write your comment as clearly and unambiguously as possible, e.g. "The project number is incorrect. The correct number is 654321."
Can the recipient of the invitation edit the document directly?
No, only the person who sent the invitation can edit the document. The recipient of the invitation can only leave comments.
How do I manage comments?
You can view others' comments when you go to “Fill out the document” for the document on which you requested comments. From there, you can limit and filter comments according to your needs. The menu shows the commenter's email address, the comment and the section they have commented on.
Functions available to the form filler for submitted comments:
- Comments can be sorted either by newest or oldest first.
- You can move to the relevant section of the form by clicking at the bottom of the comment.
- A comment can be deleted.
- A comment can be marked as resolved.
- You can reply to a comment.
